Job Description - Administrative Assistant

The UK Net Zero Carbon Buildings Standard (the Standard) set out to enable the built environment industry to robustly prove how their built assets align with net zero carbon to meet our nation’s climate targets. We have launched a Pilot Standard, and are now refining it before we launch Version 1 this winter, alongside a verification process and methodology. As part of the launch, the Standard has established as a company (Net Zero Carbon Buildings Standard Limited) to take responsibility for managing its ongoing activities. The Administrative Assistant will be essential to the running of the company, and to supporting the Chief Executive Officer (CEO) in the continued management of its workstreams.

 

We are looking for a driven individual with excellent attention to detail, with administration experience and an awareness of the built environment/construction industry. This role lends itself to someone with a growth mindset who can build on their administrative experience to support the company as it develops. 

 

Role Description


Job Title: Administrative Assistant
Location: Remote, with the requirement to attend in-person meetings in London around monthly
Salary: £32,000 per year
Job Type: full-time, permanent. 


The purpose of this role is to manage the administrative side of developing the UK Net Zero Carbon Buildings Standard, supporting the CEO and the Board of the Company alongside any technical advisory groups, and arranging meetings and events. The role also includes management of invoices and expenses. 

 

We are looking for someone to start in January 2026, but could start earlier depending on availability. 


Key responsibilities

 

  • Support the CEO and Technical Steering Group Chair with administrative functions including

    • Arranging and issuing meeting invitations

    • Documenting and circulating meeting minutes and actions

    • Maintaining contact detail information for key stakeholders

    • Other administrative tasks to support the Standard’s activities

  • Monitoring email inboxes and arranging for relevant people to respond

  • Monitoring subscription services and logins, providing and removing access as necessary, and keeping these up-to-date

  • Maintaining the Standard’s buildings database, which will involve secure filing of project data

  • Monitoring the Standard’s project management tools to ensure these stay upto-date, and chasing up on actions 

  • Manage internal communications, collating updates and ensuring these are sent out to agreed timeframes

  • Supporting on external communications, including co-ordinating reviews by relevant parties, and proofreading outputs

  • Supporting the process of recruiting people to work on the Standard 

  • Checking, supporting and monitoring the payment of invoices

  • Supporting the CEO to maintain the Company budget and allocations

  • Supporting on compliance with data protection regulations

  • Organising and coordinating events related to the Standard, including webinars or in-person events


Applicant Requirements

 

Key skills

 

  • Attention to Detail - A diligent approach is required to ensure tasks are completed to the right level of quality and detail, and nothing is missed.

  • Time and task management - you will be keeping tabs of various workflows and monitoring the activities of others. You will need to have time management and organisation skills to keep track of things.

  • Communication - you will need to communicate with people at all levels and be responsible for some external communications. Strong written and verbal communication skills are required.

  • Motivation and drive - You will be working with part time and voluntary staff who have other roles outside the Standard. A proactive approach will be needed to reach out and engage with people to carry out this role to the best effect.

  • Forward-thinking - Looking ahead of any given task to foresee what the next steps might be, and adapting your work to better support progression

 

Required Experience:

  • Working in the built environment industry – as a minimum high-level knowledge of how building projects are run, the design, construction and operation stages, and the stakeholders involved

  • Administering projects or businesses, including setting up meetings and providing general administrative support

  • Creating meeting agendas and minutes, and tracking actions

  • Use of Microsoft Suite including Sharepoint, Excel, Word and PowerPoint; and use of or willingness to learn Mailchimp; Surveymonkey; and other tools as needed

Desirable Experience

 

  •  Preparation and issuing of invoices, and tracking of expenses, including use of Quickbooks 

  • Writing for internal and external emails and communications

  • Knowledge of GDPR and practical implications of the regulations

  • Ability to edit websites e.g. Wix 

  • Events organisation
